This notice covers the use of the AI Reputation Score platform and related authentication, monitoring, reporting and export flows.

1. Controller and scope

AI Reputation Score is a SaaS platform for monitoring brand visibility across AI engines, citations, competitors and first-party signals. This page explains how data is processed when you access the platform, connect integrations and generate operational or executive reports.

2. Data we process

We may process account and authentication data, workspace and project membership, operational settings, user-created queries and prompts, generated reports, execution metadata, third-party provider configurations and first-party data synced from integrations enabled by the customer.

3. Purposes

We process data to authenticate users, authorize access to workspaces and projects, execute AI Reputation runs, generate reports, send operational notifications, support competitor monitoring and maintain service security, auditability and reliability.

4. Legal basis

Processing is carried out to provide the service requested by the customer, to meet security and service integrity obligations and, where applicable, under legitimate interest to prevent abuse, operational failures and unauthorized access.

5. Retention and security

We apply workspace- and project-level access controls, encryption for secrets stored in the application vault, operational logging and audit coverage for sensitive administrative events. Data is retained for as long as needed to deliver the service and preserve operational and contractual traceability.

6. Third-party providers and transfers

When you enable external integrations or enterprise sign-in, some data is exchanged with third-party providers such as Google, Microsoft or infrastructure services required to operate the product. The customer decides which integrations to enable and remains responsible for the legal basis attached to source data.

7. Rights and contact

For requests about access, correction, deletion or restriction of processing, contact your workspace owner or the commercial support channel through which the service was activated. This policy may be updated to reflect product changes or regulatory obligations.

For customer-specific contractual or privacy requests, the commercial documentation and the relationship between the customer and its workspace contact also apply.
